This policy explains what happens to information you give us, or that we receive, when you use the Flow Systems website. It is written to be read, not to be survived.

What this policy covers

This policy applies to {{LEGAL_ENTITY}} (“Flow Systems”, “we”, “us”) and to the website at flowtech.systems. It covers the information we receive from visitors to that website.

It does not cover our products. FastFlow and SeasonFlow are separate applications that handle operational business data, and each is governed by its own privacy policy and its own agreement with the business that uses it. If you are a user of one of those products, that policy is the one that applies to your data — not this one.

Information we collect

Information you give us. If you submit the contact form, we receive:

  • your name;
  • your email address;
  • the company name you enter, if you enter one;
  • the reason for contact you select;
  • the content of your message.

You choose what to put in the message. Please do not send us confidential business information, personal information about other people, or anything sensitive through a contact form on a public website.

Information collected automatically. Our hosting provider records standard technical information with each request — IP address, browser user agent, the page requested, the referring page, and a timestamp. We use it to serve the site, to keep it available, and to detect and limit abuse of the contact form.

Aggregate usage measurement. We measure page views in aggregate to understand which pages are read. This measurement is not tied to an identified individual and is not used to build a profile of you.

We do not buy personal information about you from data brokers, and we do not collect precise location, biometric data, or any special category of personal data through this website.

How we use information

We use the information described above only to:

  • read and respond to the message you sent us;
  • have and continue the business conversation you started;
  • operate, secure and troubleshoot the website;
  • understand in aggregate which pages people read;
  • comply with law, and establish or defend legal claims where necessary.

We do not sell personal information, we do not share it for cross-context behavioural advertising, and we do not use it to target advertising to you anywhere.

When we share information

We share information only in these situations:

  • Service providers. The companies that host this website and deliver contact form submissions to us process information on our behalf, under contract, and only to perform that function.
  • Legal requirements. Where we are compelled by law, legal process, or a government request we reasonably believe to be valid.
  • Protecting rights. Where we reasonably believe disclosure is necessary to investigate or prevent fraud, abuse, or a threat to someone's safety.
  • Business transactions. If Flow Systems is involved in a merger, acquisition, financing or sale of assets, information may transfer as part of that transaction. We would remain bound by the commitments in this policy, or give you notice of a policy that differs.

We do not share your information with anyone else for their own purposes.

Cookies and tracking

This website sets no advertising cookies and runs no cross-site tracking. It does not follow you to other websites and it does not build an advertising profile of you.

Because we do not track you across sites, there is nothing for a “Do Not Track” or Global Privacy Control signal to switch off here. We honour those signals by not doing the thing in the first place.

How long we keep information

We keep contact submissions for as long as the conversation is live and for a reasonable period afterwards, in case it resumes — {{RETENTION_PERIOD}} — and then delete them. Technical request logs are kept for the shorter period our hosting provider retains them.

Where we are required to keep something longer for legal, accounting or dispute-resolution reasons, we keep only what that purpose requires.

How we protect information

The website is served over HTTPS. Contact submissions travel over an encrypted connection and are delivered to a limited number of people at Flow Systems who need to read them. Access to our systems is restricted and credentials are not shared.

No method of transmission or storage is perfectly secure, and we will not claim otherwise. What we can commit to is not collecting information we do not need, which is the only protection that never fails.

International transfers

Flow Systems operates from the United States, and the service providers that host this site and deliver contact submissions may process information there or in other countries. If you contact us from outside the United States, you are sending your information to a country whose data protection laws may differ from your own.

Where a transfer of personal data out of the EEA or the UK requires a safeguard, we rely on the European Commission's Standard Contractual Clauses, or the UK Addendum, as applicable.

Your rights

Wherever you live, you can ask us to:

  • tell you what information we hold about you;
  • correct it if it is wrong;
  • delete it;
  • stop using it to contact you.

Write to {{CONTACT_EMAIL}}. We will respond within the period the applicable law requires, and within 30 days where no period is specified. We may need to confirm who you are before we act, and we will not charge you for a reasonable request.

California residents

If you are a California resident, the CCPA as amended by the CPRA gives you the rights to know, delete, correct, and to opt out of sale or sharing, and the right not to be treated differently for exercising them.

In the twelve months before the date at the top of this page, the categories of personal information this website collected are identifiers (name, email address, IP address),professional information (company name), and internet activity (pages requested). Each is collected from you directly or from your browser's request, used for the purposes in the section on how we use information, and disclosed only to the service providers described above.

We have not sold or shared personal information in the twelve months before that date, and we do not sell or share it now. We do not use or disclose sensitive personal information for purposes that require an opt-out. We do not knowingly sell the personal information of anyone under 16.

EEA and UK residents

If you are in the European Economic Area or the United Kingdom, you also have the rights to restrict or object to processing, to receive your data in a portable format, and to withdraw consent where we relied on it.

You may lodge a complaint with your national supervisory authority, or with the Information Commissioner's Office in the UK. We would rather you came to us first, at {{CONTACT_EMAIL}}, so we can put it right.

Children's information

This website is a corporate website for a business audience. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, write to us and we will delete it.

Links to other websites

This site links to our product websites and may link to others. Once you follow a link, you are on a site we do not control and this policy stops applying. We are not responsible for how other sites handle your information.

Changes to this policy

If this policy changes, we will update the date at the top of the page. Where a change materially affects how we handle information already collected, we will describe the change on this page rather than make it quietly, and where the law requires it we will seek your consent.
